August 2015 Release (8/12/2015)

     

    ICD10 Code Set Support

    This update includes support for ICD10 functionality which may be required when billing certain payers after October 1st 2015. To prepare for the ICD10 deadline you will need to edit each clients CMS1500 page and enter the ICD10 codes in the respective fields. Both ICD9 and ICD10 must be maintained during the transition because any billing for service prior to Oct 1 2015 must use ICD9 while billing on or after October 1 2015 will need to use ICD10.

    For customers using the 485 we recommend you start using the ICD10 code set on or after October 1st. If you have a care plan that begins prior to Oct 1 and ends on or after Oct 1 we recommend you start using ICD10 for the next care plan or end the current care plan on Sept 30 and create a new one on Oct 1st, depending on your specific requirements.

     

    Mobile Site Updates

  • Caregiver app now includes Wellness category enabling them to answer Wellness questions anytime during the visit.
  • Monthly schedule view now shows days in Red and Bold.
  • Client app directs caregiver to current day schedule upon login if schedule exists for that day.
  • Client app displays caregiver picture next to schedule.
  • Client app displays login/logout date/time.
  • Client app displays wellness category (dependent on Company Settings permission in Web Portal).
  • Other fixes and performance optimizations.

  • 317583 Inquires and Assessment report options to group by sales rep, case manager, and referral source. Displayed on the dashboard and options when running the report.

Release Highlights

    ACA Tracking and Reporting

    This update includes several new features to help your agency track reporting and insurance requirements under ACA requirements:

    • ACA Full Time Equivalent Report. This report has been re-labeled to appear with the other ACA reports. Agencies use this report to determine if they are considered a large employer and need to comply with ACA requirements.
    • ACA New Hire Measurement Report. This report is used for new hires to determine if new hires are full time based on the Initial Measurement period defined by your agency.
    • ACA Measurement Report. This report is used for all employees to determine if they meet full time status during your agencies defined Measurement period.
    • Caregiver Personal Data - New fields
      • ACA Start Date - Typically this is the first scheduled date however it could be different if your employee qualifies as a new hire under ACA based on the parity or 26 week rule.
      • ACA Status Dropdown - Customizable dropdown list to track ACA status of caregivers.
      • Insured - Checkbox to indicate if the caregiver is currently insured.

    Links throughout Generations can be accessed using the help icon (?) at the top right. This is a great way to learn new features, brush up on functionality your agency is not using, and get new staff quickly up to speed.

    Sales Rep Tracking and Reporting

     Assign Sales Reps to your clients and track profitability by sales rep. Additional details include:
    • Sales Rep Master List (Clients | Master Lists).
    • Sales Rep field on Client Personal Data Tab.
    • Sales Rep by Client Report.
    • Gross Profit report option to group by Sales Rep.
    • Referral sources report option to group by Sales Rep

    Edit Range Ability to Change Client shifts for All Caregivers

    The ability to make a change to a clients schedule and have it apply to all caregivers is now available using Edit Range. The new default value in the Existing Caregiver dropdown is "All Caregivers". Simply leave this setting to have the change apply to all caregivers working for the client.

    Create Timesheets Changes

    • New report buttons on Create Timesheets to assist in determining the status of your timesheets.
      • Timesheets Missing Schedules.
      • Schedules Missing Timesheets.
    • Create Timesheet process change when Timesheets are marked as billed or paid but not both.
      • If the Timesheet is only marked paid and there is an update to the related schedules service, the Timesheet service will be updated.
      • If the Timesheet is only marked billed and there is an update to the related schedules payroll item or caregiver, the Timesheet caregiver and payroll item will be updated.

 

    Schedule Updates from Wellness and Tasks Pages

    • Update future schedules button added to both the Wellness and Task pages within the Client profile. Enables you to update all existing (future) schedules when making additions or changes to the clients tasks list or wellness questions.

    • Caregiver Search productivity features.
      • Schedule directly from the search results using the schedule link.
      • Specify Availability % when searching if you need to staff the case with more than one caregiver.
      • When scheduling from the search, you can view your caregivers calendar and existing shifts.
      • Add notes directly from the search results to document work refusals, etc.
      • Ability to define a required number of minutes between shifts.
      • Option to show overtime alert in search results.
      • Column chooser to customize the columns and order displayed.
      • Save and Load feature to save search results and resume at a later time.
    • Telephony message and alert customization for caregivers
      • Customize the message and time the alert is sent to your caregivers. For example, you can have your caregivers alerted before the office receives an alert.
    • Call Center advanced filtering and security group
      • You can now split out the call center security so users do not need to have access to scheduling areas. More filtering and searching options have also been added making it easier to find and manage your data.
    • Travel Time page which helps agencies create travel schedules for caregivers who visit multiple clients in the same day.
      • Found under the Schedule menu.
      • Must be configured in Company Settings before using (Other Options tab).
      • Designed for agencies who want to comply with DOL travel time rules which state that the employee must be paid for time to travel to more that one worksite during the workday. For employees who may go home or elsewhere between shifts, only the time it would take from client A to B is payable. December 2014 Release

  • Site Optimizations
    • Several changes were put in place over the last week including the addition of new servers to optimize site performance. These changes will keep the site running optimally even during times where it is highly utilized.
  • Caregiver Search Beta
    • The new Caregiver Search enables scheduling directly from the search results. You can view the caregivers current schedule, upcoming absences, and search for caregivers that are partially available. This makes it easy to staff complex cases that require multiple caregivers with a specific skill set. The new caregiver search can be access under the Caregiver Search icon or menu as Caregiver Search Beta. Let us know what you think!

    • 294474 Added telephony calls menu.

    • 295990 Show company name and referral name in referral source dropdown.
    • 297953 Continuous shift support so caregiver only needs to login when arriving and logout when departing when multiple back-to-back shifts are scheduled with the same caregiver & client. Typically shifts are scheduled this way when multiple payers, billing rates, or pay rates are required.
  • Generations Online
    • 301255 Confirmed Shift Report by Caregiver option. This was put in place so agencies can identify caregivers that work at more than one client per day, for the purpose of paying travel time
    • 299160 Added frequency/notes column to tasks tab on scheduling pages. This is helpful if the client requires different tasks on individual shifts by day or time. Schedulers are able to assign the correct tasks based on the notes/frequency comments.
    • 297920 Change behavior of not allowing call center records to be edited so it only applies when the call center record is closed.

  • Wellness Questions and Alerts
    • Wellness is a major enhancement designed to give your agency the tools needed to monitor the general well-being of a client. Wellness questions are designed to work with Generations Telephony and the Generations Mobile apps. Questions are completely customizable and are a great selling tool for the services your agency provides. You can use Wellness to help prevent hospital re-admissions and market this to your potential clients and accountable care organizations.
