 August 2016 Release (8/17/2016)

 

App Notifications

App notification provide a secure method to message your caregivers. You can select to send an App Notification from any of the pages that you currently send text messages from. Just check the Send App Notification checkbox at the bottom of the page. If a caregiver has notifications enabled for the app they will be notified via the devices notification settings. If notifications for the app are not enabled then the caregiver can view the notification when the login to either the app or the portal.

Spanish Preference for Client and Caregiver Apps

Generations now support Spanish language for the client and caregiver Apps. Language of English or Spanish can be selected in the App under the Preferences menu. Please note the Spanish option is only available in the App.

Scheduling

  • Ability to add new payroll item and rate to your caregiver while scheduling.

  • Caregiver Search improvements including ability to add service on search scheduling page, ordering proximity closest by default, and added zip code to column chooser.

  • Added filter for payor to scheduling pages (calendar | weekly | grid).

  • Optimized the Select Date function on scheduling pages (calendar | weekly | grid).

  • Copy Schedules option to not copy the note associated with the schedule.

Telephony

  • Option to not allow the caregiver to call in or out if the calling phone number does not match the client record or GPS is outside the required variance.

Reporting

  • New! Scheduled vs. Confirmed Times Report.

    • This report will enable your agency to view the scheduled vs. confirmed times and variances grouped and filtered by client or caregiver. Please note data will only be available on this report starting with schedules confirmed after the release.

  • Wellness Report - added Case Manager filter.

  • Caregiver Availability Report - added filters for zip code, county, and city.

  • Report Writer - fixed issue where saved reports may not load.

  • Caregiver Visit Count Report - fixed issue causing blank pages to print between data pages.

  • Completed Task Report - added Status filter.

  • Report Writer : Client Notes - added all payors.

  • Client Statistics Report - diagnosis information to only show those diagnosis from clients that received services during the period the report is run.

  • Interruptions of Service report - improved formatting.

Service Orders

  • Service order authorization new timespan for 365 days

  • Service Order Ending Report - added filter for service order status.

Physicians

  • Added specific fields for first and last name. These are utilized on the UB04 line 76 but are also available in column chooser and report writer.

Other

  • Auto Generate Caregiver Number option in Company Settings | Other Options tab. This can be used for agencies that use a caregiver number instead of SSN/SIN.

  • Fixed security setting requiring timesheet access to adjust other expenses on the schedules.

  • Fixed Caller Type dropdown greyed out on iPad.

  • Removed Travel Time client from report writer client lists.

  • Added Application Date to column chooser on caregiver and applicant lists.

  • Fixed auto refresh on Telephony Schedules with Chrome.

Updated Reports Page Details

(1) Categories filter moved to the top of the page.

(2) Report format moved to the top of the page. Default format is PDF.

(3) Search Reports enables you to find any report matching your search term.

(4) Favorite reports are great for consolidating your most frequently run reports.

UB04

Generations now produces the UB04 billing form. For additional details on how to set up the UB04 please watch the video or review the help topic.

 

Updated Home Page

The home page has been updated and now scales to the size of the device you are using. A few of the infrequently used list items were removed from the page (ex. client type). These items can be found under the client or caregiver menus. Other additional details include the following:

  • Alerts notification at the top. Alerts are used by IDS to communicate any important events or notices to your agency.  Alerts

  • Notifications replaces the Notification Center. To view notification details click on the menu. 

  • Active users shows how many current office users are in the database. Active Users

  • Company Settings is now accessed from the menu bar using the gear icon. Company Settings

  • Help is accessed from the menu bar using the question mark icon. 

  •  Mass update is accessed from menu bar using the arrow icon. Mass Update

 

Home Page

 

 

Generations Telephony

  • Minimum Shift Duration enables the agency to specify the minimum duration of the shift.

  • Assisted GPS can be enabled per client and can be used in locations where GPS signals are difficult to obtain.

  • Telephony schedule data now includes a tab that displays visit notes left by caregivers.

 

Caregiver Search

Three significant new features have been added to Caregiver Search: 1) Search by proximity 2) Map Results 3) Total Hour Display.

 

Caregiver Search by Proximity

Proximity enables you to search for caregivers within a range of miles (or km). Please note the proximity used is point-to-point and will typically be slightly less than actual driving directions.

 

Caregiver Search - Map Results

Map Results plots all the caregivers visually on Google Maps with your client (designated as House icon). Clicking on any caregiver will automatically create directions.

       

 

Caregiver Search - Total Hours Display

Total hours the caregiver is working for the week is now displayed when scheduling from the search page.

 

Scheduling

  • Schedules Other Expense tab enables you to add other expenses directly to the schedule. Any mileage entered from Generations Telephony will automatically appear in this tab.

  • Show payroll item checkbox added to calendar and weekly schedule views.

  • Mobile

    • The caregiver mobile app daily view has been updated to show at a glance the tasks completed/assigned, wellness questions completed/assigned, and notes associated with the schedule. When adding a note the caregiver is taken back to the detail page.

    • Caregiver and clients can now see the Notes & Frequency of tasks on app and portal.

    • Caregiver can view client's telephony ID via app or portal.

     

    Reporting

    • Plan of Care report now includes telephony ID.

    • Plan of care printing options include selecting larger font sizes and hiding options that are not selected.

    • Report Writer | Schedules report source now includes payor.

    • Report Writer | Caregiver reports include Opt Out field which help see if caregivers opted out of emails.

    • Report Writer | new Timesheet report source.

    • Report writer can now work with more than 8 columns of data.

    • Weekly Schedules report options to Include total hours and show clients/caregivers without schedules.

    • Referrals by Date report now includes the assessment date.

    • Scheduled service ending report includes case manager filter.

    • Projected billing report now accounts for shifts split at midnight.

    • Added Service to Completed Tasks by Date.

    • New Telephony Mileage Report.

    • Letter writer option to include company logo, name, or both.

    • Completed task report includes filter for case manager.

    • Other Expense report has option to pull other expenses from schedules to timesheets.

    Calendar & Weekly Scheduling

    • Calendar and weekly scheduling pages have checkboxes to show/hide payor and service. Default behavior for these can be set in Company Settings.

    • Mouse-over name on schedule now shows service and pay details in addition to phone numbers.

    • New Client QA tab (see QA section below for details on this new feature).

    • Service order dropdown list will show status and authorization number.

    • View full service order details using the magnifying button next to service order dropdown.

    • Audit trail now displays each and every change historically made to a schedule.

    • Scheduling conflict notices appear regardless of the tab you are on.

    • The Audit button on edit schedules will now show the details of each and every change made to the schedule including the field changed, old value, new value, the user who changed it, and timestamp.

    Require service order when scheduling

    If your client requires a service order when scheduling, check the require box on your client's service order page.

    Service orders have been made easier to use with a lot of new functionality.

      • Status - track active and inactive. Also displays on the service order dropdown when scheduling.

      • Patient Number field for overriding CMS1500 box 1a

      • Total approved visits.

      • Flexible days. If not flexible then a validation will occur when scheduling.

      • Auto calculate and manual override for service order totals.

      • Total approved visits.

      • Required minimum tracking.

      • New validation timespans for Every 14 days, 45 days, 60 days, 90 days, and calendar year.

      • Schedule new service orders with an existing caregiver or available shift (not shown).

    When sending text messages from caregiver search the subject and alert text is automatically filled in based on the search parameters.

    Generations Quality Assurance (QA)

     QA is a new feature in Generations that enables your agency to collect feedback from your clients after services are provided. QA is completed by an automated call to your clients or using our mobile app. You can view all the QA ratings done on the Home page for the last 24 hours and 7 days, or on the dashboard for the time period specified. Reports are available to group by client or caregiver.

    • QA Benefits
      • QA alerts you to any satisfaction problems with your clients or caregivers. This in turn leads to greater client satisfaction, less client turnover, and greater caregiver accountability.
      • QA can be a marketing tool used to differentiate your agency when marketing your services to prospective clients.
    • Additional QA Details
      • QA requires a Generations Telephony account and can be enabled on the Telephony page in Company Settings.
      • Default QA method (phone or app) can be set globally and specifically for each client.
      • QA can be enabled on all existing schedules or you can pick and choose your schedules. New QA tab on scheduling pages shows the rating for that specific schedule if one exists.
      • QA responses can be found on the Home page under the Notification Center, on the Dashboard, or by running the Quality Assurance report (found under the Clients report category).

    • 240290: Added checkbox to include inactive clients and caregivers.

    • 318287:Notes will now attach to referral sources entered as secondary callers.

    • The notification center found on the bottom of the main page displays all the information shown previously in reminders plus the following new items:

    Caregiver Profile for Client App

    • You can establish a caregiver profile on the caregivers Personal Data page (under picture), which can contain a word of introduction about this caregiver.
    • When a client (or clients contacts with permission to the app) logs in to view their upcoming scheduled visits they will be able to see the caregivers profile along with all the visit details you have authorized them to view such as the tasks to be performed during the visit.

    Reporting

    • Report writer - ability to select more than 8 columns.

    • Service Order Authorizations Report

      • Client filter for All, clients without service orders, or clients with service orders.

      • Improved report format with more details.

    • Service Order Prospective Schedules Report

      • Previously was three different reports: Service Orders Grouped by Client, Date, Service.

      • Report name and description change to more accurately describe the reports purpose.

      • Additional filters for Service order, multiple clients, and service.

      • Note the option to run this report for clients with or without service orders has been moved to the Service Order Authorizations report.

    •  Confirmed Shift report additional filters group by client for services, client type, status. Group by caregiver additional filters for classification and payroll item.

    •  Report writer - add total hours to Schedules report source.

    •  Projected Billing report - added additional grouping options and ability to select all status including potential clients.

    •  Reports now respect Canadian date formats.

    •  Client Medication - added Status filter.

    •  Scheduled OT report - now able to save to formats other than pdf.

    •  In-services report option to filter by status and page break by caregiver.

    Payroll Items Mass Update

    • Caregivers - Payroll Items and Rates
      • Create new payroll items and mass assign them to your caregivers with rate and optional to set as the default item.
    • Schedules - Payroll Items
      • Mass update your schedules with new payroll items as of the effective date specified. Automatically add the new item to the caregiver if doesn't exist.

      •  All menus now sort alpha.

      •  Option to not list contacts on the Plan of Care. Next to each contact and initial contact (at Client Contacts tab), is a checkbox that determines whether or not they print.

      •  Custom field defaults - automatically adds the selected custom fields when new clients or caregivers are created.

      • Reminders Defaults -  automatically adds the selected reminder fields when new clients or caregivers are created.

      •  Referral Source - assigning note from referral source page now sends notification. Also added Outlook button.

      •  Travel time now excludes visits in the same day by the same caregiver with the same client.

      •  GPS ability to enable mock locations in Company Settings | Telephony.

      •  Reminders now have completed checkbox and completed date field.

      • Wellness is a major enhancement designed to give your agency the tools needed to monitor the general well-being of a client. Wellness questions are designed to work with Generations Telephony and the Generations Mobile apps. Questions are completely customizable and are a great selling tool for the services your agency provides. You can use Wellness to help prevent hospital re-admissions and market this to your potential clients and accountable care organizations.
